Request For Proposal: Computer Network Equipment for New School Buildings

NOTICE TO VENDORS

Provo City School District Technology Department seeks a Request for Proposal (RFP) for Network Equipment for the following project(s): Provo High School Rebuild, Provost Elementary School Rebuild, and Edgemont Elementary School Rebuild. Please provide individual bids per location. E-Rate spin number is required and must be on each bid that you submit.

Proposals must be submitted by email by 3:00 PM, MST, on Monday, May 2, 2017 to: erate17@provo.edu

Provo City School District Technology Department reserves the right to reject any or all proposals, or to waive any formality or technicality in any proposal in the best interest of the Provo City School District. Provo City School District also reserves the right to determine equivalency. Additionally the District reserves the right to rely upon state bidding processes.

The proposal will be analyzed by the Provo City School District erate committee.

Bids will be scored based on the following criteria:

Cost of eligible goods and service: 35%
Compatibility with existing infrastructure: 25%
Responsiveness to all the other terms and conditions of the RFP or Erate form 470: 15%
Prior experience with vendor: 15%
Local or in-state vendor: 10%

Award shall be made to the respondent deemed most capable of providing the complete system and support deemed to most effectively meet Provo City School District needs, taking into account the proposals and evaluation factors here outlined.

DESCRIPTION OF WORK

The Provo City School District is requesting proposals from qualified vendors interested in providing Network Switches, Fiber Transceivers and Fiber patch cables for 1 High School and 2 Elementary Schools.

The scope of the project includes:

Provo High School Rebuild:

62 – Cisco switches or equivalent.
30 – Cisco Fiber SFP+ SM Transceivers or equivalent
30 – 2M Fiber SM patch cables.

Provost Elementary School Rebuild:

13 – Cisco switches or equivalent.
6 – Cisco Fiber SFP+ SM Transceivers or equivalent
6 – 2M Fiber SM patch cables.

Edgemont Elementary School Rebuild:

16 – Cisco switches or equivalent.
6 – Cisco Fiber SFP+ SM Transceivers or equivalent.
6 – 2M Fiber SM patch cables.

Provo High School Rebuild:

Quantity 2 – Cisco WS-C3850-12S-S 12 port 10 Gigabit Ethernet SFP+ or equivalent. Must stack, if stacking module is needed include in bid. With at least 350W power supply. Must have at least 12 10gb SFP+ ports, if module is needed include in bid. Layer 2/3. Must have Limited Lifetime Hardware Warranty.
Quantity 14 – Cisco WS-C2960X-48FPD or equivalent. Must be POE+ with at least 740W power supply. Must stack, if stacking module is needed include in bid. Must have at least 2 10gb SFP+ ports. Layer 2. Must have 48 copper ports. Must have limited lifetime Hardware Warranty.
Quantity 37 – Cisco WS-C2960X-48FPS or equivalent. Must be POE+ with at least 740W power supply. Must stack, if stacking module is needed include in bid. Must have 48 copper ports and at least 4 SFP ports. Layer 2. Must have limited Lifetime Hardware Warranty.
Quantity 9 – Cisco WS-C2960X-24FPS or equivalent. Must be POE+ with at least 740W power supply. Must stack, if stacking module is needed include in bid. Must have 24 copper ports and at least 4 SFP ports. Layer 2. Must have limited Lifetime Hardware Warranty.
Quantity 30 – 10GBASE-LR SFP+ SM module or equivalent. Must be 10gb single mode fiber transceiver.
Quantity 30 – 10GB SFP+ 2M SM patch cable. Must be 10gb SFP+ 2M single mode fiber cable.

Provost Elementary School Rebuild:

Quantity 1 – Cisco WS-C3850-48F-S 48 port w/10g module or equivalent Must be POE+ with at least 1000W power supply. Must have at least 4 10gb SFP+ ports, if module is needed include in bid. Must have 48 copper ports and at least 4 SFP+ ports. Layer 2/3. Must have Limited Lifetime Hardware Warranty.
